Who we are
This website, www.labmartis.com, is operated by Lab Martis, the design studio of Maarten Luyckx, based in Pittem, Belgium. Lab Martis is responsible for the processing of your personal data as described in this policy.
What data do we collect?
Through the contact form
When you fill in the contact form, we receive the information you provide yourself, such as your name, email address, company name, phone number and your message.
When you schedule a call
The button to schedule a call takes you to a Google Calendar booking page. There you provide your name, email address and the time slot you choose, and optionally some extra information. The call itself takes place via Google Meet.
When you become a client
If we work together, we also process your contact and billing details (such as company name, address and VAT number) and the communication related to your project.
Website usage
With your consent, we collect anonymised data about how visitors use our website. You can read more about this in our Cookie Policy.
Why do we use your data?
We use your data to answer your enquiry, schedule an introductory call, prepare a quote, carry out and invoice projects, and improve our website.
We process your data on the basis of:
taking steps at your request before entering into an agreement, for example when you contact us or schedule a call
the performance of a contract when you are a client
legal obligations, such as keeping invoices and accounting records
your consent, for analytics cookies
We do not use your data for advertising and we never sell it to third parties.
How long do we keep your data?
Messages sent through the contact form and details of scheduled calls that do not lead to a collaboration are kept for a maximum of 12 months. Client data is kept for as long as the collaboration lasts, and invoices and accounting records for as long as the law requires.
Who do we share your data with?
We work with a limited number of third parties that process your data on our behalf:
Framer, for hosting the website and processing the contact form
Google, for appointment scheduling (Google Calendar), video calls (Google Meet), email (Google Workspace) and website statistics (Google Analytics)
Taxcoach (BV), for accounting and tax obligations
Some of these parties may process data outside the European Union, including in the United States. This only happens with appropriate safeguards in place, such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.
Security
We take reasonable technical and organisational measures to protect your data against loss, misuse or unauthorised access. However, no online transmission or storage system can be guaranteed to be completely secure.
Your rights
You have the right to access, correct or delete your data, to restrict or object to its processing, and to receive your data in a portable format. Where you have given consent, you can withdraw it at any time. To exercise these rights, contact us at design@labmartis.com. We will respond to your request within one month.
If you are not satisfied with how we handle your data, you can file a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be.
Third-party links
This website may contain links to external websites, such as our booking page or social media. We are not responsible for the content or privacy practices of those websites.
Changes to this policy
We may update this privacy policy when our way of working or the tools we use change. The date at the top of this page shows when it was last updated.
